A technically complex migration. Zero downtime, zero deliverability issues.
Irish private equity firm that acquires, develops and grows businesses across Ireland and the UK, with a newsletter running continuously for over 10 years.
The Challenge
Where Renatus were when they came to us
- Pardot email status data not cleanly surfaced in Salesforce: risk of mailing bounced or opted-out contacts
- Audience segmentation logic needed full replication in Salesforce before Mailchimp could connect
- Migration had to execute without disrupting ongoing newsletter communications
- Switching sending domains without a warming strategy risked damaging sender reputation
- Full sandbox validation required before any production deployment
What Rumlo Did
How we solved it
- Delivered using our structured five-step approach: Audit, Architect, Automate, Activate, and Optimise, with sandbox validation completed before any production changes were made
- Replicated all Pardot list memberships as Salesforce campaigns, preserving segmentation logic in full
- Managed domain warming in parallel with the live migration, gradually building sending volume on the new domain while maintaining continuity of the existing newsletter
- Validated the full Mailchimp-Salesforce integration in sandbox before any production changes were made
The Result
What changed.
- Clean migration from Pardot to Mailchimp: all segments, field mappings and email status data preserved
- Salesforce established as single source of truth for email status across full contact database
- Pardot segmentation logic fully replicated in Salesforce and Mailchimp
- Domain warming managed. Sender reputation protected throughout.
- Newsletter continuity maintained. No disruption to contacts during migration.
- Full sandbox validation completed before production deployment
“
Everything continued without disruption, our data stayed intact, and there were no deliverability issues. Any challenges that came up were dealt with quickly. Overall, it was handled very smoothly from start to finish.
